Teams and sharing

A team workspace is where colleagues work on the same styles, tech packs and collections, with one shared token pool. In a team, your design drafts start as “Only me” until you share them.

Everyone in the team works on the same styles and tech packs, and each person decides when their own drafts are ready to show.

1. Create a team workspace and choose a team plan. Each plan comes with a fixed set of seats and monthly tokens.

2. Invite colleagues as Member or Admin. See “Owner, admin and member” for what each role can do.

3. Your design drafts start as “Only me”. Share one to put it in Team Library. Favourites are separate and only for you.

Workspaces

Personal vs team workspace

If you signed up yourself, you have a personal workspace for your own mockups, sketches, styles and tech packs. It starts on the Free plan, and your personal plan and tokens apply there.

If you joined clothink from a team invite, you only have that team to start with. You can add a personal workspace later from the workspace switcher.

A team workspace has its own plan, token pool and members. Create one from the workspace switcher → Create workspace, or accept an invite from a colleague.

Switch between workspaces from the header menu (workspace switcher). Work stays in the workspace it was made in and can’t be moved or copied to another one, so make team work while you are in the team.

If your personal plan is the Free plan but you belong to a paid team workspace, switch to that team workspace to use its production tools, every export and the team token pool while you are there.

How do I invite someone to my team?

You need Owner or Admin role in a team workspace, and the team needs a plan. A team that has not chosen a plan yet must choose one before anyone can be invited.

1. Open Workspace settings → Members.

2. Choose a role, enter their email address and send the invite. Invites start as Member; you can choose Admin instead. Only owners can invite someone as an Owner. Each role shows what it can do; see also “Owner, admin and member: who can do what”.

3. clothink emails them an invite link. The link also appears on the page after sending, so you can copy it and send it yourself. They sign up with that email address if they don’t have an account, then accept.

Each invite uses a seat until it is accepted or expires after 7 days. See “Seats and invites”. After they join, they switch to the team workspace from the header menu to see the team’s styles, tech packs and Team Library.

How do I switch workspace?

Use the workspace switcher in the header menu (top of the app). It shows your personal workspace, if you have one, and any team workspaces you belong to.

Everything you see — mockups, styles, tech packs, token balance — is scoped to the active workspace. Switch before creating or editing work you mean to share with a team.

Work stays in the workspace it was made in. It can’t be moved or copied to another workspace, and a collection, style or tech pack can only use items from its own workspace.

If your personal plan is the Free plan but a team workspace is on a paid plan, switch to the team workspace to use its production tools and the shared token pool while you are there.

What’s shared and what’s private in a team?

In a team, your design drafts start as “Only me”. Team work, like styles and tech packs, is visible to everyone in the team.

Only you, until you share: sketches, mockups, palettes, patterns and graphics. Nobody else can see these until you share them, not even owners or admins. Once you share one, everyone in the team can see it. Sharing a sketch shares all of its images.

Everyone in the team: styles, tech packs, collections, brands, materials, size scales and Models. Team work is visible to everyone in the team from the start.

Adding a draft to a collection, style or tech pack shares it with the team automatically.

Assistant chats, favourites, saved poses and backgrounds, and notifications are private to each person. A personal workspace has no sharing: nobody else can see it.

“Only me” and sharing an item

In a team, every new sketch, mockup, palette, pattern and graphic starts as “Only me” and shows an Only me badge. Nobody else can open it, not even owners or admins.

To share it, tap the share icon (Share with your team). The whole team can then see it in Team Library, and in Studio under Shared with team.

Only the person who made a draft can share it. Sharing one image of a sketch shares the whole sketch.

A view or new version added to a sketch that is already shared with the team is shared straight away, whoever adds it. One added to an “Only me” sketch stays “Only me”.

Adding a draft to a collection, style or tech pack shares it with the team automatically.

You can use your own drafts and shared items in team work. A teammate’s “Only me” draft can’t be opened or linked.

Team Library

How do I take an item back from the team?

Tap the share icon again (Remove from team). The item goes back to “Only me”.

The person who made it can take it back. A team owner or admin can also remove any shared item from the team.

If the team’s work uses the item — in a collection, as the source of a style, or in a tech pack — it can’t be taken back yet. clothink tells you where it is used. Remove it there first, then try again.

Favourites are personal

Tap the heart on an item, such as a mockup, sketch or Model, to add it to your favourites. Use the favourites filter to find it quickly.

Favourites belong to you. In a team, teammates don’t see what you favourite, and you don’t see theirs.

Favouriting is not sharing. To show one of your drafts to the team, share it instead.

Notifications in teams

Notifications are private to you. Teammates don’t see yours.

The bell shows notifications for the workspace you are in. Switch workspace to see another team’s. When another workspace has unread notifications, a dot shows on the workspace switcher.

Invites, and notices that you were removed from a team, show in every workspace.

If you leave a team or are removed, your notifications about that team are cleared.

Members and seats

Owner, admin and member: who can do what

A team has three roles. Everyone in the team can see and edit its styles, tech packs and collections, and make and share their own drafts. There is no view-only role.

Member — creates and edits team work and shares their own drafts. A member can delete only what they made, and can’t invite people, change roles, manage billing or change team settings. When the team runs out of tokens, a member can tap Ask an admin.

Admin — everything a member can do, plus: invite and remove members, move people between Admin and Member, rename the team and change its picture, manage the plan and buy team tokens, require two-factor sign-in, delete anyone’s team work, and take anyone’s shared item back out of the team.

Owner — everything an admin can do, plus: invite someone as an owner or make a member an owner, and delete the team. Owners can’t be removed from Settings; an owner leaves the team themselves.

Nobody can open someone else’s “Only me” draft, owners and admins included.

New invites start as Member. To change a role, open Workspace settings → Members and pick a role next to the person’s name. Making someone an owner can’t be undone from Settings.

Seats and invites

Seats come with the team plan: Duo 2, Studio 6 and Maison 15. You can’t add seats one at a time; for more, move to a bigger plan.

Members use seats, and so do invites that are still waiting to be accepted. An invite expires after 7 days and then frees its seat. Cancelling an invite frees it straight away.

Workspace settings → Members shows how many seats are used, for example “6 / 6 seats used (5 members, 1 invite)”.

When the team is full, remove a member, cancel an invite or move to a bigger plan. You can’t move to a plan with fewer seats than the team has members.

Owners and admins send invites. Invites start as Member. The team needs a plan before anyone can be invited.

Leaving or being removed from a team

To leave, open Workspace settings → Danger Zone and choose Leave workspace. Owners and admins can remove someone in Workspace settings → Members.

When someone leaves or is removed: their unshared drafts and files are deleted; anything they shared stays with the team; drafts used in team work are shared with the team, not deleted.

They lose access to the team straight away, and their notifications about the team are cleared.

The only owner can’t leave: make another member an owner first, or delete the team. An owner also can’t leave while the team still has an active subscription; cancel it in Billing first.

Leaving can’t be undone. To come back, someone has to invite you again.

Plans and tokens

Locked and unpaid teams

A team is locked when its subscription ends. Everyone can still open and download the team’s work, including tech pack PDFs and Excel files with your logo. Nobody can create, edit or generate until the team has a plan again.

An owner or admin can resubscribe in Workspace settings → Billing. Members see a banner asking them to ask an owner or admin. An owner can also delete a locked team.

Monthly team tokens end with the subscription.

An unpaid team was created but never paid for. Until an owner or admin chooses a plan, only setup works: the team’s name and picture, choosing a plan, or deleting the team. Nobody can create anything, and you can’t invite anyone yet.

Team tokens and asking an admin

A team has one shared token pool for everyone in it: Duo includes 500 tokens a month, Studio 1,500 and Maison 3,500. Monthly tokens reset each billing cycle.

While you are in a team workspace, what you generate uses the team’s tokens, not your personal ones.

The team shares one token pool. Owners and admins manage the plan and buy tokens. They can top up the team in Workspace settings → Billing.

Members can’t buy team tokens. When the team runs out, tap Ask an admin and clothink lets the team’s owners and admins know. They get at most one request from you a day.

Security

Requiring two-factor sign-in for your team

Owners and admins can make two-factor sign-in required for everyone in a team. Open Workspace settings → General and turn on “Everyone in this team must use two-factor sign-in”.

You need two-factor sign-in on your own account first. See “How do I turn on two-factor sign-in?” in Billing & account.

Everyone in the team gets a notification. Anyone without it is asked to set it up before they can carry on in clothink, or they can leave the team instead. People who join later set it up after joining.

It applies to the whole account, not just this team. Members can see whether it is on but can’t change it. Turning it off doesn’t remove anyone’s two-factor sign-in.

What is Team Library vs favourites in Studio?

Team Library (team workspaces only) lists design drafts that have been shared with the team — mockups, sketches, palettes, patterns, and graphics. New drafts start as “Only me” until you share them. The heart icon adds an item to your favourites so you can filter for it quickly. Favourites are personal: teammates do not see yours, and favouriting does not share anything.

What roles exist in a team workspace?

Owner, Admin and Member. Everyone can create and edit the team’s work; there is no view-only role. Owners and admins can also invite and remove people, change people between Admin and Member, manage billing and team settings, and delete anyone’s team work. Members can delete only what they made. Who can edit a tech pack in a team workspace?

Everyone in the team can open and edit its styles and tech packs, whatever their role. If someone cannot edit, check they have switched to the team workspace (header menu) and that the team is not locked.

How do shared tokens work for teams?
